Terms for Providers

1. About these terms
These terms are an agreement between mDropit Ltd ("Activity Atlas", "we", "us") and the person or organisation listing, claiming or managing activities on Activity Atlas ("provider", "you").
By claiming a listing, creating a provider account, listing an activity, accepting provider terms, using provider tools or paying for a provider subscription, you agree to these terms.
Provider management is web-based. Providers do not need the Activity Atlas mobile app.
2. Authority to list
You confirm that you own, run, manage or are authorised to represent the activity, business, organisation, venue or provider profile you list.
You must provide reasonable evidence if we ask, for example an organisation email, website/domain, venue confirmation, insurance information, safeguarding information, licence information, or other proof of authority.
If someone reports that a claimed or provider-created listing is wrong, misleading, unsafe or unauthorised, we may investigate, ask you for evidence or clarification, update or hide the listing, restrict provider tools, or suspend/end provider access where appropriate. We may remove, restrict or suspend listings where authority is disputed or cannot be reasonably shown.
3. Safety, safeguarding and lawful delivery
You are responsible for delivering your activities safely and lawfully.
You confirm that you hold and will maintain whatever is legally or reasonably required for your activities, which may include:
- safeguarding policies and trained staff;
- DBS or other criminal-record checks where required;
- public liability insurance;
- first aid arrangements;
- venue permissions;
- Ofsted registration or other licences where applicable;
- suitable risk assessments and supervision.
Activity Atlas does not run your activities and does not supervise attendees.
4. Listing accuracy
You must keep your listings accurate, current and not misleading, including:
- activity description;
- venue/location;
- schedule;
- age suitability;
- prices and fees;
- trial terms;
- cancellation terms;
- availability;
- safety or eligibility requirements.
You are responsible for information you add, edit or confirm, including details copied from a limited public listing that you choose to claim.
You must not list excluded or unsuitable activities, including bars, restaurants, discos, nightclubs, nightlife businesses or unlawful/unsafe activities.
5. Subscriptions, fees and payouts
Provider subscriptions, booking fees and platform fees are shown before purchase or activation.
For paid bookings and provider payouts, Activity Atlas uses Stripe and Stripe Connect where available. Payment and payout status is based on verified payment-provider events, not manual claims.
You are responsible for your own tax, accounting, legal and regulatory obligations.
6. Trials, bookings and attendance
You must honour bookings and trials made through Activity Atlas unless there is a lawful, safety or operational reason not to.
You must manage cancellations fairly and in line with the cancellation terms shown to users at checkout.
If you cancel an activity, you must help us process the appropriate refund or user communication.
7. Communications
You must communicate professionally and respectfully.
You must not use booking, attendee or parent data obtained through Activity Atlas for unrelated marketing, data enrichment, resale, scraping, profiling or any purpose not connected with delivering the booked activity unless you have a separate lawful basis and have given any required notice.
Families may privately connect their own planner to one of your listed activities. You see only aggregate numbers (for example, how many families are connected or will be notified when you cancel or change a session) — never which families, names or contact details. You must not attempt to identify, contact or infer who these families are. Any cancellation reason you give is relayed to families as part of the service message, so keep it factual and appropriate. If you cancel or change a session, use the platform tools so booked and connected families are notified through Activity Atlas.
8. Data protection
For personal data you receive about attendees, parents or children through Activity Atlas, you are responsible for complying with data protection law.
You agree to:
- use the data only to deliver and manage the activity, booking, register, safety need or dispute;
- keep the data secure;
- restrict access to people who need it;
- not keep it longer than necessary;
- not misuse children's data;
- tell us promptly about any data breach involving Activity Atlas data;
- cooperate with reasonable data-rights, safeguarding and incident requests.
You should provide your own privacy information to customers where required by law.
9. Provider content
You confirm that you have the right to use all text, images, logos, names, trade marks and other content you upload or provide.
You give Activity Atlas permission to host, copy, display, crop, resize, promote and distribute your provider/listing content for the purpose of operating and promoting Activity Atlas and your activities.
10. Moderation, disputes and evidence
We may moderate, edit, hide, suspend or remove listings; restrict provider access; pause payouts; or ask for evidence where there is a complaint, report that listing information is wrong, dispute, safety concern, suspected fraud, legal issue, chargeback, policy breach or authority concern.
We may keep audit, payment and dispute records where reasonably needed.
11. Ending provider access
You may stop using provider services or close your provider account, subject to any active bookings, subscription terms, payment obligations and legal record-keeping.
We may suspend or end provider access on notice, or immediately for serious breach, suspected fraud, safety risk, safeguarding concern, legal requirement or non-payment.
12. Our responsibility
We provide the platform with reasonable care and skill but do not guarantee uninterrupted service, bookings, revenue, ranking, traffic or search placement.
Nothing in these terms limits liability that cannot be limited by law. Subject to that, we are not liable for indirect losses, loss of profit, loss of goodwill, loss of opportunity, or losses caused by your activities, listings, staff, subcontractors, venues or customers. Our total liability to you is limited to the fees you paid directly to Activity Atlas in the 12 months before the claim.
You agree to indemnify us, to the extent allowed by law, against claims, losses and costs arising from your activities, listings, content, breach of these terms, or unlawful handling of attendee or customer data.
13. Provider acceptance
When onboarding, claiming or paying, we may ask you to confirm that:
- you agree to these Terms for Providers;
- you own, run, manage or are authorised to list the activity/provider;
- you are responsible for safe and lawful delivery, including safeguarding, DBS checks, insurance,
licences and accurate listing information where applicable.
We may record acceptance with your user ID, provider ID, document version, timestamp and channel.
14. Changes, law and contact
We may update these terms. Material changes may require renewed acceptance.
These terms are governed by the law of England and Wales.
