1. Who can use private invitations
These terms supplement the Terms for Parents and Individual Users, Privacy Policy, Acceptable Use Policy and Safeguarding Policy. Accounts, private event membership, family sharing and messaging are for people aged 18 or over. Children may browse public activity information and attend suitable activities with the responsible adult, but must not use an adult's login or join a private conversation.
An adult organiser with current eligible Parent Plus access can create an invitation. An invited adult can use a free account to request access to that event. Signing in, opening a link, joining an event or receiving its reminders does not start a Parent Plus trial or subscription.
2. What an invitation reveals
The organiser chooses a name or nickname. Anyone holding the invitation link can see that chosen name before signing in or requesting access. It is not taken from the payment card or billing record. We do not publish the organiser's login email or billing information on that invitation page.
A valid invitation link shows the event title, date, time and meeting destination by default, so recipients can decide whether to request access. This also applies to existing invitations that have no deliberately saved privacy choices. An organiser can hide individual details before sharing; deliberately saved hidden choices remain in effect. Shared fields follow saved event changes. Review the preview and meeting pin before sharing. Do not include a private home, child or health detail you do not intend link holders to see. Preview permission does not grant access to the planner, participant list, private notes or conversation.
Names are supplied by users. A paid subscription, verified email address, QR code, invitation link, nickname or confirmation code is not verification of a person's real identity, age, suitability or intentions.
The organiser's outward message is copied or shared through a service they choose. It can contain information they write and the event title/time. Review it before sharing, particularly if it contains an address or other private data. Activity Atlas does not automatically send it to contacts. Copies already sent through another service are subject to that service and cannot be recalled by us.
3. Organiser responsibilities
Only share privately with the adults you intend to invite. Do not publish the link, invite children to accounts/chat, impersonate another person or use the service to threaten, harass, groom, deceive, exploit or arrange unlawful harm. Keep the meeting details accurate and communicate changes or cancellation.
Review each requesting account. Obtain its six-digit confirmation code through a conversation you already trust or in person before approving it. Do not approve someone solely because a nickname looks familiar. You can pause requests, replace the link, remove guests and cancel the event. Replacing a link stops pending use of the old link; it does not remove already approved guests or erase copies.
4. Recipient responsibilities and joining
Read the organiser's chosen name before deciding whether to continue. If an invitation is unexpected or you doubt who sent it, confirm directly using contact details you already trust. Do not rely on the displayed name alone.
Sign in to your own account, confirm you are 18 or over, read the linked terms and privacy information, and confirm that you recognise the organiser and intend to join. Your request does not itself grant membership. Basic event details are shown in the invitation preview before approval unless deliberately hidden; the participant list and conversation require organiser approval. The organiser and other approved participants can see your chosen event name and messages.
Choose your own reminder and message-alert preferences. Suggested reminder times do not turn on another person's notifications or override phone permissions. You may leave an event or disable its alerts. Removal ends future service access; it cannot erase information another participant already copied.
5. Free guest access and optional Parent Plus
Approval grants access to this event, its changes, group conversation and eligible event reminders, not the organiser's whole planner or your own paid features. Recurring free guest reminders cover up to ten sessions within the original one-year coverage window. Your own paid Parent Plus can continue eligible series reminders; an introductory trial does not reset the guest limit. Updates and conversation remain available after that reminder allowance ends, subject to event access and retention.
The organiser needs current Parent Plus access to create or renew invitation access and approve new guests. Expiry does not itself erase an approved guest's event or start a subscription for the guest. Cancelled or removed source events can leave a read-only cancelled card/conversation, with reminders stopped.
To use your own Parent Plus features, separately choose an available plan and complete the displayed Apple or web checkout. An eligible introductory free month starts only after that explicit confirmation. Read the eligibility, trial dates, renewal price and cancellation terms first. No paid trial is started by a guest acceptance checkbox. Existing introductory-offer restrictions still apply.
6. Meetings, locations and messages
The organiser and participants arrange the private meeting. Activity Atlas provides planning and communication tools and does not organise, supervise or guarantee the safety of that gathering or its participants. Users remain responsible for their own conduct and decisions. A shared map pin is an intended meeting location, not proof of attendance or a person's actual whereabouts.
Only share information needed for the event. Do not include children's private names, home/school details, medical records or other sensitive information that the conversation does not need. These tools are not medical advice, an emergency service or a guarantee that reminders/messages will be delivered or read.
Messages and deliberately shared event details are processed on our servers. They are not end-to-end encrypted. Authorised operators may access relevant records where necessary for support, security, safety, complaints or lawful requests, under the Privacy Policy and restricted operating procedures. Paying for Parent Plus does not authorise access to another person's unrelated data.
7. Reports, records and your rights
Use Report or block beside a message. Reports include the selected message and relevant event context for restricted staff review. Blocking hides messages and message alerts between two event accounts; other participants can still see them. It does not remove membership or access to the event pin. Leave the event or remove a guest to end that access. Manage existing blocks in the block list. For a provider conversation, blocking stops new messages between the account and that provider; existing messages remain available for reporting.
We use limited automated checks for clearly abusive message text as well as reports and human review. These checks cannot detect every harmful message. Report a missed problem; contact support to challenge a messaging restriction or a reporting decision. We consider the context and proportionate action and may preserve a limited evidence copy for the specific case. A report or a block is not a guarantee of an immediate response or a safe meeting.
Leave an unsafe event and report concerns to support@activityatlas.co.uk, using available in-product reporting controls where provided. Include the event/account reference if known; do not circulate harmful material. In immediate danger call 999.
We may restrict accounts or invitations, remove unlawful content, preserve relevant records and refer matters to the appropriate authorities where required or lawfully justified. We review requests and disclose only information that may lawfully be shared. Records are subject to retention and data-rights procedures; they are not kept indefinitely simply in case they might someday be useful.
Safety acknowledgements record users' declarations; they do not independently verify age or identity or transfer our statutory duties to users. Nothing here excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence or your statutory consumer rights.
